Terms of Service

1. Booking & Agreement

By placing a booking with Instant Collective, you agree to the Terms of Service outlined below. These terms are in place to protect both you and us and to ensure a smooth experience from delivery to collection.

By placing a booking, you authorise us to charge the payment method provided at checkout for any applicable additional charges outlined in these terms, including but not limited to:

  • Additional film usage
  • Late fees
  • Damage or repair costs
  • Replacement costs
  • Failed collection charges

2. Hire Period

Hire periods are agreed at the time of booking.

We aim to deliver your equipment in advance of your event and collect it shortly afterwards at mutually agreed times.

You are responsible for the equipment from the time it is delivered until it is collected.

If you require the equipment outside standard delivery or collection windows, please contact us before booking. Additional charges may apply for extended hire periods or non-standard delivery times.

Equipment must be securely packed in the original packaging provided and ready for collection at the agreed time and location.

Equipment not ready for collection at the agreed time may incur a late fee of €25 per day, per camera.

If equipment is not available for collection at the agreed time or location, additional collection attempts may incur further delivery or collection charges.

Delivery and collection times are estimates and may vary due to traffic, scheduling, weather conditions, or operational circumstances outside our control.

You are responsible for the equipment from the time it is delivered until it is collected.

If you require the equipment outside of standard delivery windows, please contact us before booking and we will do our best to accommodate. Additional charges may apply for extended hire periods or non-standard delivery times.

3. Equipment Responsibility

All equipment remains the property of Instant Collective at all times.

You are responsible for keeping all equipment safe, secure, and in good condition during the hire period.

Normal wear and tear is expected. Minor scratches or light cosmetic scuffs are not considered damage.

Equipment is inspected before delivery and after collection.

However, in the event of:

  • Loss
  • Theft
  • Irreparable damage
  • Damage requiring professional repair
  • Missing accessories or components

you agree to cover the reasonable cost of repair or replacement.

Replacement or repair costs may be charged to the payment method used at booking or invoiced separately.

Equipment must not be sub-hired, modified, misused, or used for commercial resale purposes.

4. Film Usage & Additional Charges

Each package includes the amount of film stated at the time of booking.

To help ensure you do not run out of film during your event, additional sealed film packs may be included in your rental box.

Only film packs that are opened or used will be charged.

Unopened film packs may be returned at no additional cost.

Additional film is charged at the following rates:

  • 10 shots — €15
  • 20 shots — €30

Any opened or used additional film packs may be charged to the payment method used at checkout.

5. Loss or Theft

If any equipment is lost, stolen, severely damaged, or unavailable for collection, you agree to pay the replacement value of the item(s).

Replacement values:

  • Instax Mini 12 Camera — €80
  • Instax Mini 41 Camera — €110

Replacement costs may also apply for missing accessories, printers, guestbooks, cables, batteries, memory wall components, packaging, or supplied materials.

6. Delivery & Collection

Delivery and collection are included within our standard service area.

Delivery and collection details will be agreed with you in advance.

It is your responsibility to ensure:

  • The address provided is correct
  • There is safe and reasonable access for delivery and collection
  • Equipment is available and ready at the agreed time

If delivery or collection fails due to incorrect details, restricted access, unavailable equipment, or customer absence, additional charges may apply.

Locations outside our standard service area may incur an additional delivery fee.

7. Pre-Authorised Security Hold

To protect against loss, damage, or additional charges, a refundable €150 pre-authorised security hold may be placed on the payment method provided prior to delivery or collection.

This is not a deposit and no funds are taken unless additional charges apply under these Terms of Service.

The security hold may be used to cover:

  • Missing or unreturned equipment
  • Damage beyond normal wear and tear
  • Late return fees
  • Additional film usage where applicable
  • Failed collection charges

The security hold will be released once all equipment has been returned, inspected, and no additional charges apply.

Where the cost of repair or replacement exceeds €150, the customer remains responsible for the full cost of repair or replacement of any lost, stolen, or damaged equipment.

8. Cancellations & Refunds

Customer Cancellation

Bookings may be cancelled up to 7 days before the scheduled event date for a full refund.

Cancellations made within 7 days of the event date are non-refundable due to equipment allocation, preparation, and scheduling.

Date changes may be accommodated subject to availability.

Personalised items, including custom guestbooks or printed materials, may not be refundable once production has begun.

Service-Related Refunds

If equipment arrives significantly damaged or experiences a substantial malfunction preventing reasonable use, a partial or full refund may be issued at our discretion.

Refunds are limited to the total amount paid for the booking.

We are not liable for indirect losses, event disruption, disappointment, or consequential damages.

Refunds will be processed to the original payment method. 

9. Customer Use & Photo Content

Customers are solely responsible for all photographs, printed content, and use of the equipment during the hire period.

Instant Collective is not responsible for:

  • The content of photographs taken using our equipment
  • How photographs are shared, distributed, or published
  • Any disputes arising between guests or third parties relating to photographs or printed content

Customers agree not to use the equipment for unlawful, defamatory, offensive, inappropriate, or harmful purposes.

10. Limitation Of Liability

Our liability is limited to the total amount paid for the booking.

We are not liable for any consequential loss, damage, delay, injury, or disruption relating to the use of our equipment or services.

We are not liable for delays or failure to perform caused by circumstances outside our reasonable control, including severe weather, transport disruption, courier delays, accidents, venue restrictions, or other unforeseen events.

These Terms of Service are governed by the laws of Ireland and any disputes shall be subject to the jurisdiction of the Irish Courts.
